Basic Contact Management

At its simplest level, Bluebase is a great place to store all your contact details. Names, addresses, telephone numbers and so on. And retrieval of this information is so quick and easy.

Find a contact by name, part of the address or part of a phone number. Speed and ease of use is a real key feature throughout Bluebase.

Communication with a Contact

There are many ways to comminucate with a contact. Write a letter, send an email, telephone, text message or fax, and Bluebase will help you with all of these. Not only will Bluebase help you generate these forms of commincation, for example by populating a new letter with the correct name and address, but will also store the finished letter for later retrieval.

You don't ever again have to remember what you called a document or where you saved it. Bluebase will manage the whole thing for you.

And of course communication happens 2 ways, you also receive letters and emails and again Bluebase will manage these for you.

Record Activities

You can record things that you've done, and things that you need to do for any contact in Bluebase. Each activity record can contain the date and time the activity took place, what kind of activity it was, how long it took, what it cost, links to associated documents and web pages and much more.

Some activity records are manually created, others are automatically created by Bluebase.

Activity records can be grouped by contact, company or project, and can be searched on using all fields.

Advanced Contact Management

Bluebase now contains contact information, details of communication sent and received, including copies of all documents and emails, and records of activities relating to contacts. From all this valuable data you can really begin to feel in control.

Finding a contact record now not only gives you useful contact information, but will also show you what activities have happened that relate to the contact, what letters, emails etc have been sent and received to and from this contact with links to the relevant documents.

At a glance you are up to speed. You know exactly where you are with this person be it a close friend or a supplier.

Contact Groups

The power of a database is being able to segment the data into relevant groups. You will spend time entering data into the database, and Groups is where you can begin to reap the benefits.

Groups are based on contacts, that is a group is a subset of the contacts within the Blue Box database. To help understand why we would want to segment our contacts into smaller groups, have a look at the following examples:

Moving House

We could do a mail shot to all contact in the database with our new address, but many of the contacts might not find the information relevant. It makes sense to define a group of contacts that includes friends and family, colleagues and utililty companies. This group of contacts is a relevant target for 'house move' letter.

Christmas Card List

Christmas cards are rarely sent to eveyone we know. Perhaps to just a select few. A group is an ideal way of defining your Christmas card list.

Visiting an Area

If you are visiting an area, you might want to drop in on clients or customers. You can define a group of all contacts in a certain town or postcode area and let them know your intentions.

Getting Quotes

You might have several print shops in your database. You can define a group of all print shops to send them all the same email requesting a quote for printing.

Perhaps for your own reporting you want to know how many foreign contacts you have in your database, or how many females, or how many contacts have an email address. Groups will provide all this information for you.

The list of things you can do with groups is limited only by your imagation and your requirements. Groups can be based on just about any field in the database, from the company form, the address form and the contact form. Many fields can be compared at the same time, for example you might want to email all contacts in your database who are managers, they live in London, and have an email address.

Static Groups

Static groups are lists of contacts that never change. You have to manually add contacts to the group. You have to manuall remove contacts from the group. A typical example of a static group would be your Christmas card list. Don't be put off by how simple this sounds. The Blue Box database provides some really powerful tools to help you find the right people to add to the group. It also allows you to build new groups based on existing groups.

Dynamic Groups

Dynamic groups sound too good to be true. Imagine you have a group already defined that selects all contacts who are managers. What happens when you add a new contact to the database who is also a manager? With a static group, nothing would happen. With a dynamic group though that new contact would automatically appear as part of the 'managers' group.

Summary

Groups, both static and dynamic are hugely powerful tools. Define a group of contacts and communicate with them. Inform them, sell to them, stay in touch with them in a very targetted way. Communicating with a group of contacts is as easy as communicating with a single contact.
